1. DEADLINE FOR ENTRIES

A separate fee is applicable for each category selection. If you are submitting more than one entry, send only one payment for the total amount of all your entry fees. We accept credit card payment using VISA, MasterCard, and AMEX. Credit Card Fees are 3% of total order for VISA and MasterCard. Credit Card Fees are 3.2% of total order for AMEX. Currency must be in USA dollars made payable to INTERNATIONAL AWARDS GROUP, LLC.
INTERNATIONAL AWARDS GROUP must receive payment information within 7 business days following the completion of your online entry submission in order to process entries, otherwise the entries may be withdrawn from the competition.
For wire (or bank) transfer payments, all bank charges must be prepaid by you and an additional $35 US dollars will be added to the total amount on your invoice to cover intermediary bank fees. You must include your invoice number on your bank transfer Instruction forms so we can match your payments to your order.
Your invoice number and our bank transfer information will be available to you just prior to checkout. You will be able to print your invoice for your accounting department so they can execute the transfer.
We do not charge media handling fees, sales tax, or VAT taxes.
Late Entry Fee: Any entry submitted after the official Final Deadline may be subject to a 10 % Late Entry Processing Fee.
Refund Policy: Refunds of entry fees will only be granted if a request is made within 14 days of submitting entries and then a $100 fee will be charged to cover additional administrative costs. After 14 days, because entries will have been processed and entered into the system, no refunds will be granted but we will be able to block the entries from the judging schedule. No refunds will be made once judging begins.
To be eligible for the 2017 competition, entries must have been produced, released, exhibited, screened, aired or shown online between 1 September 2015 and 15 October 2016, the final deadline. If the competition deadline date is extended, eligibility will also be extended to that date.
Select the category that most closely relates to your submission's type of program, primary purpose or target audience. You may enter the same production or program in multiple categories, including program categories and technique categories. There is an entry fee for each category you enter. Individual entries are evaluated for their intrinsic merits – without comparing them with others. There is no numerical limit of the number of finalists in any category. Each entry is, in effect, in competition with itself, and is measured by our international award-winning jury of experts using an industry-accepted standard of excellence The number of entries in a category has no bearing on how each entry is scored by the jury. One, none, or more than one medal may be given in any category.
The categories for Television & Film are divided into two main groups: there is a group for submissions which are distributed/transmitted and a group for submissions which are exhibited/screened. The first group includes News Programs, News Reports/Features, Entertainment Programs, Entertainment Specials, Promotions/Station IDs & Opens, Documentaries, Music Videos, Online Programs, Student Productions/Webisodes, Video Art & Experimental Films, On-air Performers, and categories for crafts.
The second group includes Feature Films, Documentary Films, Short Films, Movie Trailers, Industrial Productions, Corporate Presentations, Network Upfronts, Business Theater, Event Venue Productions, Education/Information/Entertainment Productions/For-Purchase-Videos, and categories for crafts.
A performer/on-air personality may enter multiple achievements in a performing category if the achievements are for different programs.

4. INDUSTRY AWARDS
Broadcaster of the Year will be awarded to the network with the highest scores for entries and largest medal count across all categories whether submitted by the network or the producer.
Production Company of the Year will be awarded to the production company with the highest scores for entries and largest medal count across all categories.
Program Promotion Team of the Year will be awarded to the creative team with the highest scores for entries and largest medal count across all promotion categories and all platforms regardless of who submitted the entry.
5. AWARD ANNOUNCEMENTS & PROMOTION
Finalists will be announced in February and the Grand, Gold, Silver, and Bronze winners will be announced at an awards ceremony held in Las Vegas at NAB Show in April 2017. The Specialty Awards of Broadcaster of the Year, Production Company of the Year, and Program Promotion Team of the Year will be announced at that time. Press releases will be sent to international wire services and to the trades. A laureate will be sent to medal-winning contacts following the awards presentation. New York Festivals® winners may refer in advertising and publicity to the fact that they are a New York Festivals® winner and, for one year after the award was bestowed, may use a replica of the New York Festivals® medal or the New York Festivals® logo in such advertising. A ® registration mark must accompany the use of the medal.
6. UNDPI AWARD
In collaboration with the United Nations Department of Public Information, New York Festivals® established the UNDPI Awards in 1990 to honor television programming that best exemplifies the aims and ideals of the United Nations. Nominated programs that achieve Finalist status are eligible to compete for these prestigious annual awards at no additional cost. Global concerns of particular interests to the United Nations include peace and security; advancement of women; social development; health issues including HIV/AIDS; human rights; crime and violence; literacy; sustainable development; and the fight against poverty. Eligible finalists will be judged by a blue ribbon panel convened by the United Nations to select Gold, Silver, and Bronze United Nations Award Winners. Results will be announced at the April 2017 ceremony at NAB Show in Las Vegas.
7. BACKGROUND SUMMARY (REQUIRED FIELD)
In order to better assist the jury, we no longer ask for an optional synopsis of entries. Instead, please include a written background summary that includes the purpose of your entry, the audience of your entry, and the market size (local, regional, syndicated, national) of your entry, along with any other pertinent information about content and context. The background summary is required during the online entry process. This should not exceed 200 words and will be seen by the judges to evaluate your submission.
Business/Industrial Theater entries may include written background material on the show (outlining development, goals and results), detailed production notes, audience demographics, and any other information you wish the judges to take into account.
Best Innovation entries may add a non-broadcast support video file with background material for evaluation by the jury.
Best Use of Technology entries may add a non-broadcast support video file on the complexity of the production for evaluation by the jury.
8. TRANSLATION (REQUIRED FIELD IF NOT IN ENGLISH)
Productions not produced in the English language must have either subtitles or overdubbing in English (preferred) or a detailed synopsis and translation of the first and last 10 minutes of the entry in English submitted during the online entry process.
The translation must be submitted digitally either in the translation box provided on the online entry form or as a word document or a pdf. We will not accept translations in any other format. Translations may only be edited after the entry process is complete by contacting NYF Processing.
When submitting your credits, be aware that if your entry is a winner, the name of the entering company, name of the network/brand (if any), name of the category, and title of the entry will appear on the award which is given to each winning entry. We also include the year of the competition. You may purchase personalized trophies online with customized credits for the individual people involved in the creation of the work. Certificates list four names with corresponding job titles. An additional eight names with job titles can be listed in the showcase section of our website. Finalists, when notified, will be given the opportunity to update and correct credits. However, if no corrections are made, credits listed during the entry process will be considered the credits of record.
10. ENTRY SPECIFICATIONS
All entries must use the following standards for text formatting. These standards allow us to better judge and showcase your work.
Title of Entry Format:
Proper Case (all first letters capitalized) must be used in the title and brand name. Series entries must be named with a single series title or with individual program titles separated by slashes.

Translation & Background Summary:
Include text in Sentence Case (first letter of each sentence capitalized). Do not use all capital or all lowercase letters.
Example: This entry is a children's program. It is targeted toward ages 8 to 14.
Production and Talent names and job titles must be in Proper Case (all first letters capitalized). Do not use all capital or all lower case letters. There is a separate field for each name and each title. Do not abbreviate job titles unless necessary.
DELIVERY REQUIREMENTS OVERVIEW:
New York Festivals displays your entries in an encoded format online to our Grand Jury panel to judge. Access is password protected. Judges have commented that Time Code or watermarks are distracting so we ask that you submit the on-air/final version of your entry.
Once uploaded, no other entrants are able to view your uploaded submissions. Various ftp software programs may display an error message when connecting to let you know that your material will not be listed in a directory. Once uploaded, even you cannot see your entry unless you wait 72 hours and use your invoice link to preview your entry.
Important: We no longer accept entries on tape-based media. We accept only QuickTime (.mov) files. We recommend that all entries be uploaded. The size of the file determines which method of uploading to use. We have links for files less than ONE GigaByte. We have an ftp site for files larger than ONE GigaByte. All uploaded videos must use H.264 compression and have a QuickTime (.mov) wrapper.
If your entry is within a url, we suggest you upload your video as a QuickTime (.mov) file. If you use vimeo, you must select the download option.

SINGLE entries up to 10 minutes in length (TV Promos, IDs, or Opens, Short Films, Movie Trailers, Features, Reports)
If these have a file size of less than ONE GIG, these can be uploaded via customized links (one for each entry piece) through our website. Detailed instructions will arrive via email upon checkout.
If these have a file size larger than ONE GIG, these should be submitted via uploading to our ftp site.
SINGLE entries longer than 10 minutes in length (Complete programs, full –length films)
Since these have a file size larger than ONE GIG, these should be submitted via uploading to our ftp site. Entrants have the option of uploading a cut-down instead of the full episode minus any commercials. A cut-down is an excerpt of the full work or a compilation of a series of clips resulting in a piece 7-10 minutes in length that best represents the essence of the submission.
All SERIES entries
Since these have a file size larger than ONE GIG, these should be submitted via uploading to our ftp site. Each entry may consist of up to three pieces (complete episodes or segments) that best represent the entire series. The three pieces must be uploaded to our ftp as three separate files. Entrants also have the option of submitting up to three separate cut-downs via uploading to our ftp. Edit each episode (or compile a series of clips) resulting in a piece 7-10 minutes in length that best represents the essence of the submission. If your series entry has three pieces, you will have 3 episodes or 3 cut-downs, and you will have 3 files to upload.
GLOSSARY OF TERMS:
In order to assist you in the upload process, we have compiled a glossary of formatting terms.
FTP (file transfer protocol): A standard for transferring files from one computer to another over the internet
Compression: Reduces the size of your file
Bit Rate: the amount of data used for each second of video. It controls visual quality and file size. Also known as data rate
Frame Rate: Most videos are shot between 24 – 60 frames per second.
Frame Size/Canvas/Resolution: the dimension in pixels of the compressed file
Codec/encoding: H.264 is the only codec we accept.
Wrapper: The file type/extension. For example: .mov; .mxf; .wmv. We only accept QuickTime files (.mov)
ENTRY TECHNICAL GUIDELINES:
Bars & Tone/Slates:
Do not use Bars & Tone. Do not use a countdown. Entries may not be divided into chapters. Entries may use a single title graphic (slate) to identify the entry, if desired.
Please note on your slate whether your entry is 16x9 or 4x3. Use 16 x 9 full frame, not anamorphic.
Compression & Encoding:
All uploaded videos must use H.264 compression and have a QuickTime (.mov) wrapper.
The audio must be encoded in Stereo using the MPEG 4/AAC compressor with 48 kHz 16 bit sampling. (160 KBPS minimum, 320 KBPS recommended).
For all files, ten bit video sources are preferred.
For SD files:
Use the H.264 at Main Level compression profile.
Acceptable frame rates:
25 fps for PAL
29.97 fps for NTSC
Acceptable frame sizes (rectangular pixels per ITU-R Recommendation BT.601):
720x576 for PAL
720x486 for NTSC
For HD files:
Use the H.264 at High Level compression profile
Acceptable frame rates:
23.98p, 24p, 25p/50i, 29.97p/59.94i and 59.94p

Entries submitted via links upload to our website:
In order to be uploaded through customized links, your entry submission must have a total file size of less than ONE GIG.
Once you have checked out and you have indicated that you wish to upload your entry(s) to our website, our data base will email you an invoice. At the bottom of the invoice will be links that will allow you to upload your entry(s) directly from your computer into our system, using a browse function /file dialogue.
Once you have located your entry file, click on that file and the upload process can begin.
Please make sure that you upload(attach) all pieces of your entries. There is a separate link for every piece of every entry submission.
Our streamlined online entry system will let you know how long it will take to upload your file, based on its size, your internet connection and web traffic. Remember that your own internet connection will also determine how long the upload process will take for your entry. A file which is ONE GIG will take approximately 30 minutes to upload with a high speed connection.
Important: All uploaded videos must be in the QuickTime .mov format (16x9 or 4x3, HD or SD) with stereo audio and H.264 encoding. Please note on your slate whether your entry is 16x9 or 4x3. Use 16 x 9 full frame, not anamorphic.
Entries submitted via upload to our FTP:
To prepare your entry submissions for uploading, please follow the following steps.
Create a folder on your desktop (either PC or MAC). Use your NYF Invoice Number to name this folder.
Important: Do not copy or upload the entire folder, upload only the entry file(s).
Copy each entry submission piece into this folder.
Use your NYF Entry ID Number ONLY to name each file and include each piece number by adding a dash and the piece number to the entry ID number. Do not use any spaces with the dash. Do not include the title of the entry. Do not include the name of your company.

Once you have created this folder, you may upload all of your entries at one time or select which files you want to upload at different times. Please copy each file from the folder to the ftp. Do not copy the folder itself. If you are uploading more than one file, the system will list the files in a queue. Our streamlined online entry system will let you know how long it will take to upload your file, based on its size, your internet connection and web traffic. Remember that your own internet connection will also determine how long the upload process will take for your entry. A file which is FOUR GIGS will take approximately 40 minutes to upload with a high speed connection.
To upload your entry submission files, you must have the FTP software installed on your desktop.
If you don’t have the FTP software, here are three options to use in order of preference. Please download the software from the links listed.

NOTE: When using FileZilla you will see an error stating “Failed to retrieve directory listing” please disregard and simply drag your items to the area on the right which says “Directory listing failed”
Now, you are ready to upload your entry submissions. You will receive FTP access credentials on your invoice.
You may enter additional submissions at another time. Just remember to follow the preparation steps.
If your company has firewall or other issues that prevent you from uploading via our ftp, please contact our Processing and IT departments at firstname.lastname@example.org
Entries which are urls/links:
If you use this option, we recommend that you follow the file size and formats above. You must keep the links active through the entire process including the ceremony. If you cannot keep the links active, you must upload your entry.
Entries submitted by post or by courier:
We no longer encourage this form of delivery. It is costly for entrants. We strongly suggest that entrants upload their submissions. Uploading gives entrants maximum control over their submissions and ensures a better quality for the jury’s evaluation.
Entries which submit by post or by courier must be submitted on DVD (either NTSC or PAL systems). We recommend that you maintain the original frame rate and frame size of your entry and native resolution. If submitting a DVD that is burned in-house, you must remove all region and security encryption. Please note on your slate whether your entry is 16x9 or 4x3. Use 16 x 9 full frame, not anamorphic.
12. DISPOSITION OF ENTRY/ERRORS & OMISSIONS
Entries and materials submitted will not be returned and may be displayed, shown, duplicated, published or reproduced for educational and/or promotional purposes as New York Festivals® deems appropriate. By entering, the entrant agrees to hold New York Festivals® and any of its affiliated companies exempt from any costs or expenses of any claim arising out of any such use.
Entrants have the option to not have their entry shown in its entirety on our websites by exercising the option listed on the online entry form. Entrants who exercise that option may upload trailers once judging has concluded if they desire to showcase their winning entries.
New York Festivals ® assumes no responsibility for the acts or omissions of those individuals or entities submitting entries pursuant to this notice. All submitting entities and/or individuals are advised to review submissions with respect to correct name credits and other information.
13. FORMS and DELIVERY BY POST
We no longer accept offline paper forms. Please use our online entry system for each of your submissions. A printable record of the total for all your entries will be automatically generated at Checkout. This record will include an invoice for the total amount due and shipping instructions with the Entry Item ID labels for any submissions which cannot be uploaded.
Every entry you submit via post must include the Item ID number found on your invoice. This is the only way we can match your work to your entry. Label the envelope clearly with company name, category, entry title, and Item ID numbers, and be sure to affix the Entry ID Label or write the corresponding Item ID number on the disc.
Enclose a copy of the record you received immediately after checkout in the shipping carton along with your entry(s). You will be notified by email when your package has been received
Note: All shipping costs, insurance, customs duties and handling fees for all entries must be prepaid by the sender. We cannot assume responsibility for customs clearance.
